Everything you need to know about the GoldFrame experience.

Booking and Retainers

You can begin by booking a 15-minute consult through our website. During that call, we’ll discuss your event vision, venue details, and preferred date.

After the consult, your date is placed in Priority Reservation for 7 days while you review and sign your agreement.

Your date is officially secured once:

• The agreement is signed
• 50% non-refundable retainer is paid
• $500 refundable damage deposit is paid
• Applicable GST is remitted

Until then, your date remains in Priority Reservation status for 7 days.

If the signed agreement and required payment are not received within 7 days:

• Your date is automatically released
• Availability is no longer guaranteed
• Pricing may change
• Another client may secure the date

We recommend completing the agreement promptly to avoid losing your installation date.

The 50% retainer secures your date and reflects:

• Lost booking opportunity
• Scheduling and logistics allocation
• Creative preparation
• Customization planning
• Staffing coordination

Once your date is reserved, we decline other inquiries for that time.

The remaining balance is charged prior to the event date, as outlined in your booking confirmation. Full payment must be completed before the experience begins.

A refundable $500 damage deposit is required at signing.

It covers potential damage to structural components, lighting, electrical systems, or excessive cleaning caused by misuse.

If no damage occurs, it is returned within 7 business days following your event.

The Experience

Each experience includes:

• Magazine-style installation
• Professional lighting
• Custom cover design (based on package)
• On-site setup and takedown
• Digital gallery delivery

Add-ons such as balloon décor, red carpet rollout, additional hours, or premium customization may be added.

Yes. Cover customization is included in select packages and available as an add-on in others.

Corporate events may also include branded customization depending on partnership level.

There is no fixed guest limit.

However, the host is responsible for preventing overcrowding and ensuring safe use of the installation, especially if no GoldFrame staff member is present onsite.

Some packages include on-site attendants. Others are structured for independent host-managed experiences.

Logistics

Yes.

The first 10 km round trip from Landmark Buildings, Kelowna is included.

Travel beyond that is billed at $0.85 per kilometre, calculated as:

Round Trip Distance = 2 × One-Way Distance
Billable KM = (Round Trip − 10 km)

Mileage is added to your final invoice and subject to 5% GST.

Setup time varies by experience level but typically ranges from 60 to 90 minutes. Breakdown time is handled efficiently after the experience concludes.

Minor wear is expected.

If damage exceeds normal use and surpasses the $500 deposit, the client agrees to cover the remaining repair costs within 7 days of invoice.

Clients must provide:

• A flat, stable installation surface
• Adequate clearance space
• A dedicated standard power outlet

Final space requirements are confirmed prior to the event.

Payment and Policies

The remaining balance, including mileage and GST, is due 7 days before the event.

Failure to remit final payment may result in cancellation of services without refund of the initial retainer.

Any damage beyond normal wear may be deducted from the damage retainer. If damages exceed the retainer amount, additional charges may apply.

Full terms, conditions, and policies are provided during the booking process and are available upon request.

The 50% retainer is non-refundable.

In cases of Force Majeure (severe weather, government restrictions, venue closure, etc.), payments may be applied to a rescheduled date within 12 months, subject to availability.

Force Majeure refers to circumstances beyond reasonable control, including:

• Severe weather
• Government restrictions
• Power outages
• Venue closure
• Transportation disruptions

In such cases, the retainer remains retained, but payments may be applied to a future date.

Yes.

For every confirmed referral (signed agreement + deposit paid), you receive a $150 GoldFrame Credit.

Credits:

• Are transferable
• Expire after 12 months
• May be used toward upgrades or future bookings
• Have no cash value

Corporate clients who complete two events within 12 months receive:

• Priority calendar access
• Complimentary branded cover customization
• Waived mileage up to 20 km round trip

Corporate events may also require proof of liability insurance depending on scale.

For private events, liability insurance is typically handled by the venue.

For larger events or corporate activations, proof of liability insurance may be required depending on venue policies and event scale. If needed, we will coordinate documentation requirements in advance to ensure a smooth setup.

If your event date changes, we will make every effort to accommodate a new date within 12 months of the original booking, subject to availability.

Your 50% retainer remains non-refundable but may be applied toward the rescheduled date. If the new date is unavailable, standard cancellation terms apply.

We recommend notifying us as early as possible to maximize flexibility.
